Laddawn.com : Programming Spec - Printed Quotes and Acknowledgement Formats

  • For the Phase I release we will use the Optio forms system to generate printed output for Mod Items being shared to users who do not have a valid email address on file.  We will make some tweaks to the existing form to accommodate differences in the new website as follows:
    • When the Share option is used and it is a Fax Only contact (or CE working on behalf of a Fax Only contact), the system will display a popup telling the operator that the Item will be faxed and offer them the opportunity to confirm or deny the action.  If they choose to proceed, the Optio system will be invoked to generate and fax the printed quote, otherwise no further action will be invoked.  When the Share option is used by or on behalf of an email contact they normal Share page and logic will be invoked.
    • Note: If CE needs to Share to additional contacts associated with a Fax Only contact they will do so thru Avante as they do today.
    • Changes - see Sample below.
      • The form header will be changed from "QUOTATION" to "MADE ON DEMAND ITEM (MOD)"
      • The "QUOTATION NO." box heading will be changed to "MOD ITEM NO."  The Mod Item Number will be printed inside the box.
      • The "BUILD YOUR CUSTOM QUOTES ..." footer line will be changed to "BUILD YOUR MOD ITEMS ...".
      • We will no longer use the "Job Reference" box on the standard Mod Item/Quote form.    The large box will be replaced with 3 smaller boxes containing the key criteria that differentiate a Mod Item.    The first box will contain the Zip Code with a heading of "TO:", the second box will contain the Quantity with a heading of "QUANTITY:", and the third box will contain the Freight Terms (Included or Not Included) with a heading of "FREIGHT:".
      • All lines of Item Description in the body of the form will be represented.  There will be subtle changes in the verbiage based on the new web logic but all lines will be accounted for.  NOTE: as of 3/4/14 their are some missing or incorrect fields I believe based on missing data elements.  The following fields should be reviewed for validity:
        • Color (no line when "clear")
        • Presentation (missing packaging type and multi-line information not breaking correctly).
        • Quantity (not showing correct information)
        • Shipment Pkg (not showing but can likely be left out as this information is not captured until time of order).
        • Price Breaks (missing)
        • Estimated Ship Date (not being calculated and shown in it's two printed lines correctly).
        • Note: The new extended description fields called "Description" and "Specifications" on the Web will not be included on the printed quote.
      • Text Based Mod Item Emails to customers who currently accept emails will be replaced by the Share Email generated from the web.  For this reason the above changes need not be built into the Optio text based  functionality.  

 

  • For the Phase I release we will not be able to share a Stock Item or a Shopping Cart with a user who is "Fax Only" customer.  Since this is not a feature that is available today it will not be included until the Phase II release in which we introduce software that allows for the faxing of HTML or Image based output from the Web.  Note: a popup will be issued to the operator when this situation is encountered while Sharing.
  • For the Phase I release we will use the existing Optio forms and logic to generate printed output for the Carts that are converted into Sales Orders. See Sample below.
  • This means:
    • We will print one Sales Order Acknowledgment for each Avante Sales Order that is created. (Note: The number and nature of sales orders created will often match the number of bundles shown in the process but will not always match exactly).
    • The  format of the Acknowledgement forms will very closely resemble the current format with only subtle changes as follows:
      • The "SALES ORDER NO." box heading will be changed to "SALES ORDER NO. / MASTER ORDER NO." The two data elements will be separated by a slash and printed within the box.
      • For orders with Mod Items, the detailed description will read as Mod Item Number followed by generic product line name (Ex: MOD11157 - BAGS, MOD3455 - SHEETING)
      • For orders with Mod Items, the output will mirror the format currently in use on the form.  All data elements will be verified for accurate form placement when we have the logic fully functioning.
      • Note: The new extended description fields (shown on the Web) called "Description" and "Specifications" Web will not be included on the printed quote.
      • All special charges will be itemized in the detail portion of the form following the product specific line or lines and will be included in the SUBTOTAL line as they are today.
      • Brandit details will be itemized in the detail portion of the form as it is today.
    • Text Based Emails for Acknowledgments to customers who currently accept emails will be eliminated with the Phase I release of the website.  What I am suggesting here is that we make a leap of faith that our users can now accept PDF attachments and that we do not have to carry this logic forward at this time.  As a result, the above changes do not need to be incorporated in the Optio text based email logic that currently exists.
