Overview

After completing the Addresses portion in Checkout, you are brought to Shipping and Packaging. Shipping & Packaging allows users to be able to review/change when an item is being shipped, who's paying for the shipping, who's doing the shipping and access to special instructions for each shipment bundle. Also, you can review a condensed version of the items ordered. This section has many dynamic data points and elements which can change depending upon selection. Also, certain special instructions will add upcharges to order totals.

 

How is my order bundled together and when are my items shipping?

Detailed specifications for bundling are being handled separately in 2a. Bundling Items for Shipping - COMPLETE.  This page is primarily concerned with a) Shipping paid by (aka FOB) and Ship Via choices and b) special shipping instructions.

My order (Design 2)

The items in each order are displayed by Item #, Description, and Quantity. Should there be multiple items, the orders will be divided by a horizontal line and 20px of space top/bottom. After the final item is displayed, the user can add "Special Instructions" to each individual bundle.

Adding special instructions (Designs 2, 2a, 2b, 2c, 2d, 2e, 2f)

When the customer is logged in

Special instructions are placed per bundle involving LTL delivery; the link for adding them will be suppressed for small package bundles. The default starting point is "None" (unless special instructions have previously been saved as a preference) with no special instructions attached to this bundle (Design 2). After "None" is clicked, a shadowbox appears (Design 2a) with a complete list of special instructions that are available (availability of certain instructions is dynamic depending on applicability to what is in the bundle).

The user clicks the check box of the special instruction they would like to add. Some instructions require additional data and can spawn additional data entry fields below the selected check box. (Call for delivery appointment, Receiving hours, Max pallet height, Number of packages per pallet). All additional data fields are required and basic validation will be required for alpha-numeric and numeric form fields.

The user must click "OK" for selected instructions to be added to the bundle. Once the user has done that, the special instructions link goes from "None" to "Change." Each special instruction added, gets posted below the bundle, under the "Special Instructions" heading in a bulleted format (Design 2d). Also, any selected special instruction with an upcharge will have that upcharge amount placed as an additional line in the Order Total (Design 2f).

When CE is logged in

When CE is logged in, the link to access this pop-up will appear for all bundles, not just LTL bundles.This is to enable CE to check the residential and limited access checkboxes, regardless of whether the bundle is small package or LTL. 

Special instructions will contain the following sections:

Delivery

  1. Call for delivery appointment (Design 2b/2c). Selecting this check box will expand 2 entry fields below the check box. The 1st entry field will request the user to "Enter a contact name" and the 2nd entry field will request "Enter delivery phone number." The user can also make this a preference for this ship-to. 
  2. Receiving hours (Design 2h/2i). Selecting this check box will create 2 drop downs for time that is broken up in half hour increments for 24 hours.  The user can also make this a preference for this ship-to. Ability to check off specific days of week is deferred to future release.

Carrier Options

All options will create an upcharge which is displayed in "Order Total"

  1. Inside delivery (CE will use this for all special services -  inside, S&S, lumper, driver unload )
  2. Lift gate delivery
  3. Tailgate delivery

The customer or by CE can also set these as preferences in user preferences or in the popup with the checkbox that appears. However, if CE has set any of these options to be preferences, the customer cannot uncheck them here or in user preferences; they will display in both places as uneditable.

Pallet instructions

  • Export pallets - export Pallets will have a per pallet charge; we will deploy the current logic to determine the number of pallets per bundle.
  • 40 x 48 four-way pallets
  • Packages per pallet (MODs only; suppressed if/when bundle contains only stock) - As this is item specific, it cannot be a preference. Note: If stock is bundled with the MOD, this comment is understood by Laddawn to apply only to the MOD in the bundle.  See design 2e.
  • Max pallet height
  • We will no longer offer a "max pallet weight" instruction.

Pallet instructions will be suppressed if the order is below XXX pounds.  Above XXX pounds, all of the relevant pallet options will show - "relevant" meaning that logic that currently suppresses certain pallet choices in the configurator** (see below) based on product dimensions, weight or other factors, will need to be replicated here behind the scenes. So for example, if the 40 x 48 pallet type is not applicable to the product(s) in the bundle, it will not show.  Note: stock orders that exceed XXX pounds are likely to consist of multiple lines with disparate case sizes; it is a rare to nonexistent occurrence for a single line stock order to exceed XXX pounds.

Pallet Type:

  • If Cases or (Rolls and Width <= 48") - allow Export and 40x48 Pallets
  • If Rolls and Width > 48" - allow only Export Pallets

#Pkgs Per Pallet:

  • Low Range = 250 lbs / Case or Roll Weight + .49 (rounded to whole number)
  • High Range
    • If Rolls, Cradlepacked and Folded Width < 15": Max Per Skid x 3
    • If Cases or Rolls, Boxed:  Max Per Skid

Definition of Folded Width: If Fold Bags in Half is chosen, this is Width / 2.  If Folded not chosen, this is Width.  For Furniture Bags, this is Length.

Definition of Max Per Skid:

  • If Rolls, Cradlepacked: Max Per Skid comes from the Box Table, column MAXPKG, using Roll LxG
  • If Rolls, Boxed: Max Per Skid comes from the Box Table, column MAXPKG, using Folded Width
  • If Cases: Max Per Skid comes from the Box Table, column MAXPKG, using cubic inches

Max Pallet Height:

  •  Low Range:  12"
  • High Range: 50"

Max Pallet Weight: -We decided not to offer this any more.

  • Low Range: 250 Lbs
  • High Range: 1500 Lbs

Making a special instruction a preference (Design 2c, customer or CE view)

Most special instructions may be saved as preferences for the ship to customer so that every time a cart is checked out for that ship to, the instruction is pre-set.  The user clicks the check box labeled "Make this a preference for this customer." This newly designated preference can be turned on/off each time this specific ship-to customer checks out a cart or within the location specific section of shipping preferences (in the process of being designed).

Special Instructions - Apply to all bundles check box

Selecting this will add all selected special instructions to any other bundles in the order. We decided to eliminate this on 10/15/13 -SP

Shipping Method - shipping paid by + ship via (Design 3)

Default shipping paid by and ship via selections will appear above each bundle (Design 3). If changes are allowed (see exclusions below), the user will see a "Change" link next to the Shipping Paid By/Ship Via selections; clicking this will open a shadowbox (Design 3a).

Exclusions (no change link, changes not allowed in Checkout)

  • For MOD bundles with freight included, there is no Change link. Shipping paid by is fixed at "TBD" (exact verbiage still TBD); ship via is fixed at "Best Way." If the user wishes to change to freight not included, they need to return to the Cart.
  • CPU orders and their bundles follow a different flow. The CPU option has to be selected in the widget or in the cart, via zip code type. To change a CPU order to a non-CPU order (or vice versa) the user will have to go back to the cart. Ship paid by and ship via will be fixed as "CPU" and "My company's truck." (In a later release, we would like to add the ability for customers to send a trucker other than their own for CPU orders and to be able to specify third party or collect freight terms. The workaround for handling this situation will be documented at a later time.)

Dynamic 'shipping paid by' choices

Given the two exclusions above, there are three scenarios where users will see a "Change" link above the bundle – 1) MOD, freight not included; 2) stock less than $500; 3) stock greater than $500 – with two variants apiece: A) when the recipient of the goods is the bill to and B) when and when the recipient is someone other than the bill to.

The "shipping paid by" choices, tied to specific FOB codes, will be dynamic based upon the scenario.

Background on FOB codes
  • PPD - Prepaid: Laddawn pays the freight (free freight, stock over $500; freight included in purchase price for MOD when quoted that way).
  • P&A - Prepay & Add: Laddawn pays for the freight on its own freight account, and adds freight on to the customer's invoice. The customer benefits from Laddawn's lower freight rates.
  • Collect and Third Party Bill are most likely used when the customer has an arrangement with a shipper who can provide better shipping rates than Laddawn's rates.
    • Collect (COL) is used when the entity receiving the goods is paying the freight.
    • Third Party Bill (3PB) is used when a party other than the recipient of the goods is paying for the freight - often, though not always, the bill to.
    • Currently in Avante:
      • An account number is required for UPS and FedEx collect shipments; it is optional for non-UPS/FedEx LTL collect shipments.
      • An account number is optional for all Third Party Bill shipments, including UPS and FedEx, LTL or small package. We need to make it required for UPS and FedEx.
      • Addresses should be required for LTL COL and 3PB - this validation may or may not be happening in Avante today.
  • FOB codes drive some of the data that is included on shipping labels (not to be confused with BrandIt or individual package labels), for the benefit of the shipper.

Shipping Method Pop-up (design 3a)

The pop-up walks the user through 2-3 steps, depending on selections:

Step 1, select "Shipping paid by" method (design 3a, 3b)
Step 2, select "Ship via" method (designs 3b, 3c)

Only applicable when when P&A, COL and 3PB are selected. P&A defaults to Best Way; the user may override that with a specific carrier. When either 3PB or COL is selected, a specific Ship Via must be chosen.

Step 2a (3PB and COL), enter freight account/freight billing info (designs 3c, 3d, and 3e)

Once Ship via is chosen, the fields for freight account number and freight bill address will appear. Required fields will vary based on carrier type (UPS/FedEx v. all others), and shipment type (LTL v. small package):

    • An account number will be required for all UPS and FedEx  shipments.
    • An account number will be optional for all non UPS/FedEx shipments.
    • And address will be be required for all LTL shipments, both COL and 3PB.
Saving shipping method as a preference

Once the user has entered their choices, they can save the shipping method as a whole - freight terms, ship via, and freight account info if applicable - as a preference for the ship to location.  (Users who wish to save these preferences on a global basis will be able to do so in the user preferences area.)

The verbiage for the checkbox in all instances should be "Make this the preferred shipping method for this location" - so it is generic enough to also apply when recipient of goods is the bill to or an alternate warehouse, and it's clear that this is only being set at a location-specific level.
