Notes from meeting 8/12

Susan

  • Susan is going to convert all 000 comments that indicate preference for 40 x 48 4-way, max pallet height, export pallet to corresponding numbered comments.
  • When that is done, Judy will run the ASCII, going back 12 mos for configurations that were ordered, and 12 mos for unconverted quotes, with one line per ship to customer. The data will be segregated between customers/configurations have numbered pallet comments and those who don’t.
  • Tina/CE will review and make changes, leaving only the ones where preferences should be set.
  • Susan will work with Judy to create a set of non-printing dummy comments for 000s that do not map to an existing numbered comment, but which do map cleanly to new website preferences - for example, “don’t call on price discrepancy”
    • This will include the “orphan” 000s that will need to port over as free form comments.  IT still needs to determine some particulars as to how free form comments will be entered - for instance, if they will have checkboxes for Tina and Meme to indicate that they do or don’t need to print on work orders/shipping paperwork, etc. Once particulars are known, the dummy comments can be structured accordingly.
    • Tina’s new recruits will convert all 000 comments to the existing or new numbered comments in Avante, so that at launch time, they can be converted to website preferences.

Judy

  1. The Pallet Preference ASCII that is already written will be modified to do the following instead of starting with the most recent revision of each configuration:
    1. Go through 12 months of orders and unconverted quotes (instead of starting with CFHDR)
    2. Print 1 line per customer# (may already be doing this)
    3. Let them know if preference is already set (comment# already exists in CUSTMST) – Susan is going to change pallet comments that already in the customer master to 005, 006, 008.  If one of these comment numbers is found in CUSTMST, a column will be flagged telling them that the preference is already established.
  2. Comments fall into 4 categories:
    1. Numbered comments that will stay the same (ie, 108-CALL FOR DELIVERY, 109-RECEIVING TIMES, 133-BOL COMMENT) No changes required
    2. Numbered comments that will change numbers (ie, 112-40X48 PALLETS will become 005-40X48 4-WAY PALLETS) Susan will change from 112 to 005
    3. 000 comments that can be converted to numbered comments. Susan will review
    4. Orphaned Comments - 000 comments that are to alert ce of something or have to be printed on shipping/work order paperwork.  These do not map to any future preferences.  The ‘alert’ comments can remain as 000 and will be displayed on the Checkout Shipping Instr screen under the CE column.  Orphaned comments that need to be printed on paperwork will be reviewed by Susan.  See #5 below for more detail of how these could be handled.
  3. We decided that all work should be done on Avante because there is no way to set preferences via the site into the LIVE database at this time.  We may have to establish some temporary std comments for preferences that are NOT comments (ie, backorder handling or call for price discrepancy).  This way these could be setup anytime and we could write a conversion program to set the new preference fields in CUSTMST.USR when we go live.
  4. I will supply Susan with a list of the numbered shipping comments that we are using going forward.  Susan will review to see which comment numbers are staying the same and which need to be changed.  These changes will be done on Avante.
  5. I believe we have accounted for the display of 000 comments in the Checkout Shipping Instructions screen, but I don’t believe we’ve given them a way to flag which of these should print on shipping and/or production paperwork.  I have to review the wiki to see if we decided to make these comments a numbered comment and add two new fields to comments maintenance to ‘print on shipping paperwork’ and ‘print on production paperwork’ OR if we decided to add checkboxes for these on the Shipping Instructions free-form area.

 

Let’s discuss at some point so that I can get the conversion program touched up and another written if necessary.
